Music Parents Association Meeting Minutes

Monday, March 7, 2011

7 p.m., Band Room

I. Call to Order: President Fernando Aenlle-Rocha called the meeting to order at 7:15 p.m.

II. Financial Report: CeCe Guiar distributed a Treasurer”s Report (see attached) for February , 2011 and summarized the salient points regarding income, expenses and budget shortfalls. The treasurers are actively working to collect dues from Winter Color Guard and Drum Line participants. To date, 50% of the Color Guard participants have paid dues, with $2,100 outstanding and 85% of Winter Drum Line participants have paid, with $1,400 outstanding. The MPA received a bonus of $1,155 from Macy’s, in recognition of our efforts during the fall fundraiser. The Winter Dinner Show netted approximately $34,000. This amount represents a drop of approximately $5,000 from the 2010 Winter Show, which had seen a decline in net revenue by $5,000 from the 2009 Show. In particular, business sponsorships, donations and live auction revenues have declined. Fernando Aenlle-Rocha pointed out that this demonstrates a need to continue diversification of our fundraising efforts, reducing our reliance on the Winter Dinner Show.

Elysa DelGuercio proposed fundraising through the sale of scrip and will proceed to develop this fundraiser before the end of the school year.

The treasurers projected costs of $31,000 to $35,000 through the end of the school year and noted that the MPA has $41,000 in our bank accounts. The treasurers are soliciting information from a variety of MPA members in order to prepare next year’s budget.
